Identify the exact version to repeat
Start with the prior order or artwork reference and the final approved proof. Add a front and back photograph if it helps identify the design, especially when a program has several years, finishes or award categories.
Write which version should be repeated. A team name from the previous season, a particular milestone year and a shared corporate front can look similar in a folder but lead to different production requests.
Separate unchanged details from requested changes
| Detail | Record for the next quote |
|---|---|
| Front artwork | Same file or a marked revision |
| Wording | Exact year, name, program or event line |
| Material and size | Original specification or requested change |
| Finish and colors | Approved reference and any new palette |
| Attachment | Same back or another option |
| Quantity | Actual count for every front |
| Packaging | Original type or new presentation |
| Delivery | Required arrival and current destination |
A changed front or shape should not be described simply as the same pin. The supplier should explain whether the change affects the production setup and quote.
Confirm setup and availability before relying on a repeat
Ask whether the previous production setup is still available for this specification and how any setup charge is treated. Artwork records, mold availability and a changed front are separate issues. Do not assume that a previous order guarantees a free setup, proof-free production or a shorter delivery time.
If a color or finish match is important, send the old approved reference and explain which detail needs comparison. A photograph taken under different light is useful context but is not a color specification on its own.
Plan the next issue quantity
For a service award program, list each milestone and its count. For employee recognition, list each award design and the intended issue period. For a team order, identify the season and any travel deadline.
The next run may use a different quantity tier from the first. Compare the current complete quote, including selected options and delivery, against the stock the program needs.
Send one concise reorder request
Attach the previous approved proof, the order reference if available, a marked change list, quantity per front, destination and in-hand date. Name the contact who can approve any revision. Use the quote form to send the request and review the specification before the next production run.
